SCHEDULING / MANDATORY DATES
PLEASE READ! Getting ready for Elf Jr. and the Junior Theatre Festival (JTF) is going to be an incredible journey. Because we’re preparing for a full production in November and a special 15-minute competition piece for JTF in January 2027, it does take a dedicated team effort from July through January 17th.
We know many of our talented students are busy with sports, school clubs, and other shows! If you’re worried about juggling your schedule, don’t let that stop you from reaching out. We’re happy to sit down with you and your family to look at the calendar and see if we can make the magic happen together.
To keep our rehearsals professional and productive, we just ask that cast members attend at least 75% of our regular rehearsals. There are also a few “all-hands-on-deck” dates that are mandatory for everyone; consider these non-negotiables, meaning if you are not able to commit to the mandatory dates, we kindly ask that parents and students discuss with each other and consider if this is the best time to commit to a long-term production such as this.
Mandatory Dates (Conflicts are not accepted on these days):
- Fitting Day & Cast Photo Day (Tentative September 12th and 13th)
- Sept. 12th, Saturday, is the initial photo taking, and the 13th is our makeup day.
- Tech Week & Show Days (For Elf Jr. Read the scheduling sheet below for tech and performances.)
- Failure to appear will result in loss of stage time performance for the student.
- The final rehearsal weekend before JTF (January 9th and 10th)
- Failure to appear for the final JTF weekend rehearsal will result in student removal from performing at the JTF competition. They, the student, are still permitted to attend JTF and watch the performance and participate in all other events.
Check out our policies and procedures page for the full scoop on attendance and specific dates. We can’t wait to see you on stage!

Audition Process—Part 2: Callbacks
- Callbacks are in person and are MANDATORY.
- Failure to show for callbacks will result in the student’s ineligibility to be cast in the show.
- If you believe you will not be able to attend callbacks, please IMMEDIATELY notify Top Hat Staff via email at info@toptheatrics.org.
- The students’ behavior, such as excessive talking and/or other disruptive actions, will be recorded throughout this audition process and may affect their eligibility to be cast.
- Keep it simple, and be respectful to Top Hat staff’s time and the other students auditioning at all times!
- Callback schedule in order from top to bottom:
- Dance Callbacks
- Please be prepared to wear the appropriate attire to dance in. Students learn a dance number/combo from our choreographer and are asked to perform it either alone or as a group.
- Singing Callbacks
- Students will sing select parts for the roles called back for and will also sing ensemble numbers as a group and alone.
- Acting Callbacks
- Students read select dialogue from the show based on what the student was called back for. Directors may ask students to cold read for characters that they were not called back to read.
- Dance Callbacks
- Advice from our Directors: Give your 110% effort in any role you are asked to read or sing for; this is crucial for the directors to understand how well you read as the character and where you, the student, may be cast to better fit the story while still offering a challenge in a given role. Please do NOT ask to read or sing for a specific character; you will be declined.
Audition Process—Part 3: The Offer
- After callbacks, Top Hat Directors will take the following week to craft the cast list and offers. All casting decisions are final by the directors.
- If you, the student, are cast, students/parents will receive an email with the offer, and the student must reply with an accept or decline within 48 hours after the offer has been emailed.
- If the student does not accept the role, no harm, no foul at all. We encourage the student to ask for feedback based on their auditions 48 hours after the cast is announced, and we hope the student auditions for the next show.
- If you have any questions, comments, or concerns, please always refer to the policy and procedures page at https://toptheatrics.org/general-production-policies-and-procedures/
